Privacy Policy

Scope. This Privacy Policy covers www.agentconference.com together with our conference subdomains — tickets.agentconference.com (ticketing and checkout) and backstage.agentconference.com — referred to here as the “Sites.” Those subdomains link to this policy rather than publishing their own, and everything described below, including your cookie choices and your privacy rights, applies identically across all of them.

1. Information We Collect

We collect information you provide directly to us, such as when you register for our conference, subscribe to our newsletter, submit a speaking proposal, enter into a sponsorship agreement, or contact us. This may include:

• Name and contact information (email address, phone number)
• Professional information (company, job title)
• Payment information for ticket purchases
• Communication preferences

Speaking proposals. If you submit a proposal through backstage.agentconference.com, we collect the content of that submission — session title, abstract, and description — together with your biography, headshot, job title and organization, links to your professional or social profiles, details of prior speaking experience, and the contact details you give us. If your proposal is accepted, we also collect the presentation materials you share with us. Selected speakers’ names, biographies, headshots, job titles, and session details are published on our public conference pages and used in event promotion; the rest of a submission is used only to evaluate it and to run the event.

Sponsorship agreements. If your organization enters into a sponsorship agreement through backstage.agentconference.com, we collect the business contact details of the people representing it (name, job title, email address, phone number), the name of the person signing on its behalf and the electronic signature they provide, and the agreement itself along with related correspondence. Sponsorship invoicing and payment are handled entirely by our payment processor, Stripe, which collects billing and tax details directly — we receive transaction records, not full payment credentials. Sponsor logos, company names, and descriptions supplied to us are published on our conference pages and in event materials. Business contact information is treated as personal information under this policy, and the rights described in sections 6 and 7 apply to it.

Dietary and accessibility requirements. When you register or complete your attendee details, we may ask about dietary requirements and accessibility needs. This applies to all ticket holders and attendees, speakers included. These fields are optional, and we ask for them only to arrange catering and on-site accommodations. Because this information can reveal health conditions or religious beliefs, we treat it as a special category of personal data: where the GDPR or UK GDPR applies, we rely on your explicit consent, which you may withdraw at any time. We share it only with the venue, caterers, and accessibility providers who need it to deliver those arrangements, and we delete it after the event it relates to.

2. How We Use Your Information

We use the information we collect to:

• Process your conference registration and ticket purchases
• Evaluate speaking proposals and select the conference program
• Publish speaker profiles, session details, and sponsor listings on our conference pages and in event materials
• Administer sponsorship agreements, including invoicing and payment
• Arrange catering and on-site accessibility accommodations
• Send you conference updates and important information
• Respond to your inquiries and provide customer support
• Improve our services and conference experience
• Send you marketing communications (with your consent)

3. Information Sharing

We do not sell, trade, or otherwise transfer your personal information to third parties without your consent, except as described in this policy. We may share your information with:

• Service providers who assist us in operating our conference and website
• Our payment processor, Stripe, for ticket and sponsorship transactions
• Our accounting and contract-management providers, for sponsorship agreements
• The venue, caterers, and accessibility providers, limited to the dietary and accessibility requirements needed to deliver those arrangements
• Conference sponsors (only with your explicit consent)
• Legal authorities when required by law

Information you provide to us for publication — speaker profiles and session details, sponsor logos and company descriptions — is publicly available once published, and may be indexed by search engines or reproduced by third parties. Contact us if you need a published profile corrected or removed.

4. Data Security

We implement appropriate security measures to protect your personal information against unauthorized access, alteration, disclosure, or destruction. However, no method of transmission over the internet is 100% secure.

5. Data Retention

How long we keep your information depends on what it is:

• Speaking proposals and related materials — retained indefinitely, including proposals we do not accept, so that we can keep a record of past programs and consider submissions for future editions. You can ask us to delete your submission at any time and we will do so.
• Dietary and accessibility requirements — deleted after the event they relate to.
• Order and sponsorship records — kept for as long as we need them to meet our accounting, tax, and legal obligations.
• Newsletter and marketing subscriptions — kept until you unsubscribe.

Cookie lifetimes are listed individually in the table in section 6.

6. Cookies and Tracking

We and our advertising partners use cookies and similar technologies across the Sites to operate them, analyze traffic, and measure the performance of our advertising. Where required by law (for example in the EEA, UK, and Switzerland), we only set analytics and advertising cookies with your consent. You can review or change your choices at any time via the Cookie Settings link above, available on this page from anywhere in the world, and also in the footer of every Site for visitors in the EEA, UK, and Switzerland. Your choice applies across all of the Sites.

We use cookies in three categories: strictly necessary ones that make the Sites work and remember your consent choice; analytics cookies from Google Analytics that tell us which pages are useful; and advertising cookies from Google Ads, Meta, LinkedIn, TikTok, and Reddit that measure our campaigns and support relevant ads. Analytics and advertising cookies last up to two years; strictly necessary ones last from a single session up to twelve months. Only the strictly necessary category is set without your consent where consent is required.

Consent Mode. When you decline advertising or analytics cookies, we use Google Consent Mode: the relevant cookies are not set and Google may receive only aggregated, cookieless signals that cannot be used to identify you.

Your US privacy rights (Do Not Sell or Share). Depending on your state of residence, you may have the right to opt out of the “sale” or “sharing” of your personal information for cross-context behavioral advertising. Our advertising cookies involve such sharing, and you can opt out in either of the two ways below. We do not sell personal information for money, and we do not knowingly sell or share the personal information of consumers under 16.

1. We honor opt-out preference signals. We process the Global Privacy Control (GPC) signal, and other opt-out preference signals that meet the requirements of applicable law, as a valid request to opt out of the sale and sharing of the personal information associated with that browser or device — automatically, with no further action from you. Because we process these signals in a frictionless manner, we rely on Cal. Code Regs. tit. 11, §§ 7013(f) and 7025(f) and do not post a separate “Do Not Sell or Share My Personal Information” link.

How to turn on an opt-out preference signal. GPC is built into some browsers (including Brave, Mozilla Firefox, and DuckDuckGo’s browser) and can be added to others — such as Google Chrome, Microsoft Edge, and Safari — with a free extension. You can find the current list of participating browsers and extensions, with setup instructions, at globalprivacycontrol.org/orgs. Once enabled, visit this site and the opt-out is applied on that browser; it applies per browser and per device, so turn it on in each one you use.

2. Opt out directly. If you would rather not use a browser signal, turn off “Advertising” in Cookie Settings. That has the same effect as a Do Not Sell or Share request and applies across all of the Sites. You may also email team [at] agentconference [dot] com to exercise any of your state privacy rights, including access, correction, and deletion. We will not discriminate against you for exercising them.

• Access and update your personal information
• Request deletion of your personal information
• Opt-out of marketing communications
• Request a copy of your personal information

8. Third-Party Links

Our website may contain links to third-party websites. We are not responsible for the privacy practices or content of these external sites. We encourage you to review their privacy policies.

9. Children's Privacy

Our services are not intended for children under 13 years of age. We do not knowingly collect personal information from children under 13.

10. International Transfers

Your information may be transferred to and processed in countries other than your own. We ensure appropriate safeguards are in place to protect your personal information.

11. Changes to This Policy

We may update this Privacy Policy from time to time. We will notify you of any changes by posting the new policy on this page and updating the effective date.
